Terms of Service

OrbConvert is a file-processing platform that provides tools for converting, compressing, and optimizing files between formats, along with developer and API capabilities where available. The platform operates at orbconvert.com and its API at api.orbconvert.com.

These Terms of Service ("Terms") govern your use of OrbConvert ("OrbConvert", "we", "us"). By accessing or using the service, you agree to these Terms. If you do not agree, you should not use the service.

These Terms work alongside our Privacy Policy, which describes how we handle personal information. Where something in these Terms depends on your plan or how you use the service, we say so directly.

You accept these Terms by creating an account, using the service, or continuing to access the platform after any updates take effect. If you do not agree with these Terms or any changes to them, your option is to stop using the service and, if you have an account, delete it.

If you are using the service on behalf of a company or organization, you represent that you have the authority to bind that organization to these Terms.

OrbConvert is a professional file-processing tool and is not directed at children. We do not knowingly accept registrations from individuals below the applicable minimum age in their jurisdiction.

By using the service, you represent that you are legally able to enter into a binding agreement and that your use of OrbConvert does not violate any law or regulation applicable to you.

When you register, you provide an email address and a password. A display name is optional. You are responsible for:

• Providing accurate registration information and keeping it current.
• Maintaining the confidentiality of your password and account credentials.
• All activity that occurs under your account, whether authorized by you or not.
• Notifying OrbConvert promptly if you suspect your account has been compromised or used without authorization.
• Not sharing your account credentials with others. Each person who needs access should have their own account.

You can sign in with Google or GitHub as an alternative to email and password. Using a social sign-in provider does not give OrbConvert permission to act on your behalf on that provider's platform — we only receive the account ID, email, and basic profile information the provider shares.

We use email verification and password reset flows that rely on single-use, time-limited tokens. Rate limiting is applied to login and registration endpoints to prevent brute-force attacks.

OrbConvert supports workspaces for team collaboration. A workspace is a shared space owned by one user, with members who have assigned roles. The available roles are:

Workspace owners are responsible for activity within their workspace, including actions taken by members they invite. Members can be suspended or removed by an owner or admin at any time.

Workspaces can be tied to a subscription, allowing shared plan limits and billing. If a workspace is suspended by an administrator, its members lose access until the issue is resolved.

OrbConvert provides the following service categories. Not all features are available on every plan — see your plan page for specifics.

• File conversion: convert files between document, image, video, audio, archive, CAD, vector, and ebook formats.
• File compression: reduce file sizes for supported formats.
• File optimization: optimize media files for web delivery or storage efficiency.
• PDF tools: merge PDF files on the client side. Additional PDF tools are planned but not yet implemented.
• URL import: import a file from a public URL for processing (SSRF-protected).
• API access: programmatic file conversion via API keys (Business plan).
• Job Builder: a visual tool for composing multi-step conversion workflows and generating API calls.

We may add, modify, or discontinue specific tools and features. See section 23 (Changes to the Service) for how we handle that.

When you upload a file to OrbConvert, you are responsible for ensuring that you have the legal right to upload and process that file, and that doing so does not violate any law or the rights of any third party.

Files you upload are processed as follows:

• Your file is uploaded over an encrypted connection and placed in temporary processing storage.
• The conversion runs in an isolated processing job. Settings you choose (including archive passwords) are held in memory only while the job runs and are never written to the database.
• Once the output exists, your original uploaded file is deleted from storage — we do not keep both.
• The converted output is kept so you can download it, then permanently deleted after your plan's retention period (see the Privacy Policy for the retention table).
• If a conversion fails, the input file is deleted immediately, and the failed job record is kept for 7 days before cleanup.
• A cleanup job runs every hour and removes anything past its expiry.

Processing behavior may vary by tool, selected settings, supported formats, and technical constraints. Not every file can be converted — some formats or specific files may not be supported. See section 18 (Service Availability) and section 19 (Disclaimers).

For how your files and personal data are handled, see our Privacy Policy. These Terms do not duplicate the privacy details — the Privacy Policy governs data practices.

You retain ownership of all files you upload to OrbConvert and the outputs generated from them. OrbConvert does not claim ownership of your content.

By uploading files for processing, you grant OrbConvert a limited, non-exclusive license to host, transmit, process, and generate outputs from your files solely as necessary to provide the service you requested. This license:

• Is limited to what is necessary to perform the requested conversion, compression, or optimization.
• Includes storing the output for the retention period applicable to your plan so you can download it.
• Includes security and abuse-prevention measures such as malware scanning, file validation, and audit logging of job metadata.
• Does not include using your files to train machine learning models, for advertising, or for any purpose unrelated to providing the service.
• Ends when the file is deleted from our systems according to the retention schedule in the Privacy Policy.

We do not access, read, or share the contents of your files except as necessary to operate the service (processing, security validation, or as required by law). Administrators can view job metadata (filename, size, formats, status) but cannot browse your file contents.

You may use OrbConvert for lawful file-processing activities consistent with the service's intended purpose. You agree to use the service responsibly and with respect for other users and the platform's infrastructure.

You represent that, when using the service:

• You have the necessary rights to upload and process the files you submit.
• Your use of any third-party content (including trademarks, copyrighted material, or personal data) complies with applicable law and the rights holder's permissions.
• You are not submitting content that infringes the intellectual property rights of others.
• You are not using the service in a way that violates applicable law in your jurisdiction.

You may not use OrbConvert to engage in any of the following activities. This list is not exhaustive — we may update it as new abuse patterns emerge.

• Uploading files that contain malware, ransomware, viruses, or any malicious code designed to harm or exploit systems.
• Using the service for phishing, credential theft, fraud, or any illegal activity.
• Uploading content that infringes the intellectual property rights, privacy, or other rights of any person or entity.
• Attempting to bypass rate limits, quotas, access controls, or security measures.
• Using automated tools (scrapers, bots, scripts) in a way that abuses the service or degrades performance for others, except through the documented API within permitted limits.
• Attacking or attempting to disrupt the service's infrastructure, including denial-of-service attempts.
• Reverse-engineering or attempting to extract the service's internal implementation details beyond what the public API documentation describes, where prohibited by applicable law.
• Uploading files specifically designed to exploit processing infrastructure or trigger excessive resource consumption.
• Using the service to violate any applicable law, including export control or sanctions regulations.
• Sharing your account credentials or API keys with unauthorized parties.

OrbConvert may reject, block, quarantine, or terminate the processing of any file or request that creates a security, abuse, or infrastructure risk. We do not guarantee that every uploaded file will be processed.

If you have a plan that includes API access, you may use the OrbConvert API to programmatically convert files. The following rules apply:

• API keys: when you create a key, it is shown to you once in full. After that, only its name and an 8-character prefix are displayed. You can have up to 5 active keys on Pro (20 on Business), and keys can be revoked at any time in Settings.
• Key security: you are responsible for keeping your API keys confidential. If a key is compromised, you should revoke it immediately in Settings. OrbConvert may revoke compromised credentials where necessary to protect the service.
• Rate limits: API requests are rate-limited based on your plan. Specific limits may change; refer to the API documentation and your plan page for current values.
• Usage: per-day and per-month conversion counters are tracked and tied to your account to enforce plan limits.
• Authentication: API requests are authenticated with your key in a header, as documented in our API documentation. We do not publish the internal format of tokens beyond what the docs describe.
• Generated outputs: files produced through the API follow the same retention and deletion rules as files processed through the web interface.
• API availability and version changes: we may modify, deprecate, or replace API endpoints with reasonable notice. Breaking changes will be communicated through the API documentation.

Unauthorized use of the API, including sharing keys with parties who should have their own, or using the API in violation of these Terms, may result in revocation of keys and suspension of API access.

The Job Builder is a visual tool that helps you compose multi-step conversion workflows and generate the corresponding API calls.

• Workflow persistence: the workflow you build stays in your browser. It is not saved to your account or our servers unless you copy the generated request elsewhere.
• Execution: when you run a workflow, the jobs it creates are processed like any other conversion and follow the same retention rules described in section 7 and the Privacy Policy.
• Responsibility: you are responsible for the workflows you create and run. Workflows that violate these Terms or process prohibited content are subject to the same enforcement measures as direct conversions.
• No guarantee of success: not every generated workflow will execute successfully under all conditions. Processing outcomes depend on input files, selected settings, supported formats, and technical constraints.

OrbConvert relies on third-party providers to operate. These providers may have their own terms of service that apply to your use of their services. The third-party services we currently use include:

• Payment processing (Stripe): handles checkout, subscriptions, and invoices. Card data is entered on Stripe's pages and never touches our servers.
• Email delivery (Resend): sends our transactional emails such as verification and notification messages.
• Social sign-in (Google, GitHub): enables optional sign-in with your existing account.
• Object storage (S3-compatible, including Cloudflare R2): stores uploaded and converted files for the retention period.
• Infrastructure and DNS: serves the website and API over HTTPS.

These providers process data on our behalf as necessary to deliver their services. We do not list providers that are planned but not yet integrated. If we add or remove a provider, we will update this section.

OrbConvert offers both free and paid plans. Paid plans are billed through our payment provider — Paddle for new subscriptions, with Stripe retained for subscriptions taken out earlier. The following describes how billing works:

• Plans: we offer Free, Pro, and Business plans. Pricing is published on our pricing page and may change with reasonable notice.
• Billing cycle: subscriptions renew automatically on the cycle you selected (monthly or yearly) until you cancel.
• Cancellation: you can cancel your subscription at any time. Cancellation stops renewal at the end of your current billing period — you keep access until then. Immediate cancellation is also available.
• Trial periods: if a trial is offered, you will not be charged during the trial. At the end of the trial, your selected plan begins and billing starts.
• Coupons: we may offer promotional coupons from time to time. Coupons have their own terms, usage limits, and expiration dates as specified at the time of redemption.
• Payment method: payments are processed by our payment provider. We store that provider's customer and invoice references, but we never see or store your card number.
• Advertising: the Free plan may be supported by advertising, which is part of why it can be free. Advertising may be introduced at any point — we do not promise a date — and when it is active the Cookie Policy names the partner and states the consent that applies, including that in the EEA, the United Kingdom and Switzerland no advertising script or cookie loads before you agree to it. Paid plans (Pro and Business) are ad-free: no advertising script is loaded for them. If that ever changes, this clause changes first.
• Past due: if a payment fails, your subscription enters a past-due state. We will attempt to retry the payment. If it continues to fail, access to paid features may be suspended.
• Plan changes: you can upgrade or downgrade your plan. Upgrades take effect immediately; downgrades take effect at the end of your current billing period unless otherwise specified.

Subscription status, billing period, and invoice history are available through the billing portal in your account settings.

All fees are published on our pricing page and are charged in the currency displayed at checkout. Taxes, where applicable, are added at checkout by Stripe based on your billing address and local tax regulations.

You are responsible for all charges incurred under your account, including charges that result from unauthorized use of your account if you did not take reasonable steps to secure it.

The OrbConvert service — including its software, website, branding, logos, user interface design, documentation, and source code where applicable — is owned by OrbConvert and protected by intellectual property laws. You do not receive any ownership or rights to the service itself by using it.

As stated in section 8, you retain ownership of the files you upload and the outputs generated from them. The limited license you grant us is solely to process your files and deliver the service — nothing more.

The "OrbConvert" name and logo are trademarks of OrbConvert. You may not use our trademarks, branding, or design elements without prior written permission, except as necessary to describe the service accurately (for example, in a legitimate review or comparison).

We respect intellectual property rights and expect our users to do the same. If you believe that content available through OrbConvert infringes your copyright or other rights, you can report it to us.

To submit a report, email legal@orbconvert.com with:

• A description of the copyrighted work or right you believe has been infringed.
• The location on OrbConvert where the infringing material can be found (such as a job ID or file reference).
• Your contact information, including name and email address.
• A statement that you have a good-faith belief that the use is not authorized, and that the information in your report is accurate.
• A physical or electronic signature of the rights holder or an authorized representative.

We will review and respond to abuse reports as promptly as we can. We may remove or disable access to material that we determine, in our reasonable judgment, infringes rights or violates these Terms.

OrbConvert is provided on a best-effort basis. We do not guarantee that the service will be available without interruption, that every file will be processed successfully, or that processing will be instant.

The service may be unavailable or delayed due to:

• Scheduled or unscheduled maintenance.
• Outages or failures in third-party infrastructure (hosting, storage, DNS, payment, email providers).
• Technical limitations, including processing capacity, format support, and file-size constraints.
• Abuse prevention measures, including rate limiting and file validation.
• Force majeure events beyond our control.

We do not promise a specific uptime percentage or service-level agreement. If we ever offer a formal SLA, it will be published separately and referenced here.

Except as explicitly stated in these Terms, OrbConvert is provided "as is" and "as available," without warranties of any kind. To the fullest extent permitted by applicable law, we disclaim implied warranties including merchantability, fitness for a particular purpose, and non-infringement.

We do not warrant that:

• Conversion results will be accurate, complete, or identical to the original file in every respect.
• Processing will be lossless — some formats involve quality reduction by design (for example, compression).
• Output files will be compatible with every application, device, or platform.
• The service will be error-free, secure, or available at all times.
• Third-party services will function without interruption.

You are responsible for reviewing output files before relying on them. Some jurisdictions do not allow the exclusion of certain warranties, so some of the above exclusions may not apply to you.

To the fullest extent permitted by applicable law, OrbConvert shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or data, arising from your use of or inability to use the service.

This includes, without limitation, damages for loss of files, conversion errors, data corruption, service interruptions, or unauthorized access to your account.

Some jurisdictions do not allow the exclusion or limitation of certain types of liability, so some of the above limitations may not apply to you. Nothing in these Terms limits liability that cannot be limited under applicable law.

You agree to indemnify and hold OrbConvert (and its officers, employees, and agents) harmless from any claims, damages, losses, and expenses (including reasonable legal fees) arising from:

• Your violation of these Terms.
• Your misuse of the service, including prohibited activities under section 10.
• Content you upload that infringes the rights of any third party.
• Your violation of applicable law.

OrbConvert reserves the right, at our own expense, to assume the exclusive defense of any matter for which you would otherwise be responsible to indemnify us. We will use reasonable efforts to notify you of any such claim.

You can terminate your account at any time by going to Settings and using the self-service deletion option in the Danger Zone. Deletion is immediate — not queued for 30 days.

OrbConvert may suspend or restrict access to your account or the service in the following circumstances:

• Violation of these Terms, including prohibited activities under section 10.
• Security risk, including suspected account compromise or fraudulent activity.
• Abuse of the API or service infrastructure.
• Non-payment or payment failure where paid features are involved.
• Illegal activity or activity that creates legal exposure for OrbConvert.
• At the request of law enforcement or pursuant to legal process.

We will use reasonable efforts to provide notice before suspending an account, except where immediate action is necessary to protect the security of the service, other users, or OrbConvert (for example, an active attack or malware distribution). In such cases, notice may be provided after the fact.

Banned accounts (role set to BANNED) are blocked from authentication. Administrators can revoke refresh tokens and suspend accounts for security reasons.

Upon termination:

• Your access to the service ends immediately.
• Any remaining output files tied to your account are deleted from storage at the time of deletion.
• Job records are detached from your identity (user link removed) and deleted when their retention window ends. See the Privacy Policy for details.
• Some records survive in detached form: audit logs keep the action and timestamp but lose the link to your user ID and email address. Email and import logs are similarly detached.
• Provisions of these Terms that by their nature should survive termination (including intellectual property, disclaimers, limitation of liability, and indemnification) remain in effect.

We may add, modify, or discontinue features of the service as it evolves. This includes adding new conversion tools, changing supported formats, adjusting plan limits, or retiring features that are no longer viable.

For changes that affect paid plans, we will consider applicable consumer-protection requirements. We will not fundamentally change the core service you paid for within an active billing period without offering an alternative or a pro-rated adjustment where appropriate.

Plan-specific limits (file sizes, daily conversions, retention periods, concurrent jobs) may be adjusted by administrators. If a plan page shows different values at signup, the plan page governs.

We may update these Terms as the service evolves, as legal requirements change, or to reflect new features. When we do, the "Last updated" date at the top of the page changes.

The current version always lives at https://orbconvert.com/terms. For significant changes that materially affect your rights, we will notify signed-in users through the service or by email where appropriate. We do not promise notification methods the product cannot actually deliver.

If you continue using OrbConvert after a change takes effect, you are agreeing to the updated Terms. If a change is unacceptable to you, you can cancel any paid subscription and delete your account at any time.

These Terms and any dispute arising from them or your use of the service will be governed by the laws of the jurisdiction in which OrbConvert's legal entity is established.

We are a small team, but every message to these addresses is read by a human. For anything sensitive, prefer email over social channels.

These Terms apply to the OrbConvert website at orbconvert.com, its API at api.orbconvert.com, and the services connected to them. They do not apply to third-party services that maintain their own terms (such as payment or sign-in providers) — for those, the provider's terms govern your use.
